Board Agenda - August 07, 2007

6. #2007-043, Locker installation/repairs

Presenter: Richard Matkin

Purpose: A - Request decision - closure required

Time: No time limit

Description:

Bids for the following items were advertised, received, and opened by the Purchasing Services Department. The appropriate department has evaluated all bids and forwarded their recommendation to the Purchasing Services Department to be reviewed for compliance with Educational Code 44.031 and School Board Policy.

This is a compliance bid that will establish an approved vendor and pricing for the installation and repair of student lockers for the District. This is the first year of a renewable bid.

Bid notifications were sent to thirty-two vendors. Only one response was received. The Facility Services Bid Committee has reviewed this bid and recommends that Barton, Edwards and Associates be awarded the bid. They have an excellent past relationship with the District. Although only one bid was received, Barton, Edwards and Associates is offering pricing that is lower than what is on our current bid. They were awarded in 2002, and their discount off catalog pricing per specific manufacturers is greater than the existing bid. Tab sheet is attached.

Recommendation:

The Administration recommends that the bid for the purchase of locker installation and repairs be awarded to Barton, Edwards and Associates.

Business Impact:

Estimated Value: $100,000.00
Budget/Financial Implication: Carpentry Budget
Evaluation Criteria: Price; Vendor Reputation; Quality of Vendor's Service and Goods; Vendor's past relationship with the District; Lowest total long term cost to the District; Enables the District to comply with HUBS laws; Best Meets the Needs of the District.
