6. Co-op bid for office supplies

Description:
Bids for the following items were advertised, received, and opened by the Purchasing Services Department. The appropriate department has evaluated all bids and forwarded their recommendation to Purchasing Services to be reviewed for compliance with Education Code Section 44.031 and School Board Policy.
This is a compliance bid that will establish an approved vendor and pricing for the purchase of office supplies for all District locations. This is a co-op bid through U. S. Communities.
Office Depot has been our primary supplier of office supplies for the past eight years. They have become a valuable partner with the District. Office Depot furnishes twenty-four hour delivery of orders, electronic catalogs, electronic pricing files, and electronic data interchange (EDI). Using the EDI feature the District no longer prints paper purchase orders to Office Depot. The orders are sent electronically.
US Communities is a nonprofit agency which assists public entities in reducing the cost of purchased goods through pooling of purchasing power of public agencies nationwide. This is done through competitively soliciting quality products by a lead public agency. The lead agency for the Office Supply Bid is Los Angeles County, CA. Several vendors were in competition, including Office Depot, Corporate Express, Office Max and Caddo. They evaluated each company by distribution, marketing, product, administration, and price. Office Depot is the selected vendor.
Recommendation:
The Administration recommends that Office Depot be the District vendor of office supplies for the term of the U.S. Communities contract period beginning with Board approval through January 1, 2010.
