11. Cooperative purchase of equipment for district copy center

Description:
The recommended purchase meets the criteria set forth in the Educational Code Section 44.031, Local government Code 791, and School Board Policy.
Local Government Code, Chapter 791, enables the District to purchase goods or services through interlocal agreements. Staff determined that The Cooperative Purchasing Network has an available approved vendor that meets the District's needs for this project.
The District Copy Center needs additional equipment to increase production capacity to the level required to meet the growing copy needs for diagnostic testing and for the elementary campuses. The Copy Center also needs equipment that will eliminate the manual effort currently required to run folding jobs.
Xerox offers a copier, Nuvera P120CP, which is equipped to run the diagnostic testing copy jobs. The Nuvera P120CP has a booklet maker incorporated into it that will allow more hours of run time for the testing materials, which will in turn free up capacity on existing machines to run elementary campus jobs. The Nuvera P120CP will also automate folding jobs, which will increase productivity by allowing the copy center operators to run more jobs per shift.
Staff recommends that the terms of the lease be coterminous with the lease of the other equipment in the Copy Center, which expires in December 2008.
Recommendation:
The Administration recommends that the lease agreement with Xerox for an additional production copier be approved.
