9. Bid Rejections

Description:
Bids for the following items were advertised, received, and opened by the Purchasing Services Department. The appropriate department has evaluated all proposals and forwarded their recommendation to Purchasing Services to be reviewed for compliance with Educational Code 44.031 and School Board Policy.
The following list of Bids has been reviewed by the appropriate Departments. Staff recommends that the following bids be rejected.
Bid 3762 Bleacher Inspection- Bids were received from several companies that perform bleacher maintenance and inspections. The Facility Services Bid Committee determined that the submittals would not provide an adequate level of service.
Bid 3768 Water Treatment Chemicals-Bids were received from five potential vendors. The Facility Services Bid Committee determined that the submittals each provided differing levels of chemicals and service, thereby prohibiting the ability to do an accurate and fair evaluation.
Bid 3765 Canvas Awnings-One bid was received from the current vendor. Staff surveyed several prospective bidders that had not responded and found that there was inadequate bid notification.
Staff will perform needs assessments, revise specifications, and add additional suppliers to the notification process to improve each of these competitive processes.
Recommendation:
The Administration recommends that Bid 3762 Bleacher Inspection, Bid 3768 Water Treatment Chemicals, and Bid 3765 Canvas Awnings be rejected.
