Helpful Information for Completing the Volunteer Approval Process
Thank you for your interest in volunteering in Plano ISD. We greatly appreciate your willingness to invest your time and efforts into supporting Plano ISD students, families and staff.
All volunteers will need to create an account and complete an application, online orientation and background check through the Plano ISD volunteer management system, VOLY, to be eligible for district/school volunteer opportunities. Please visit plano.voly.org to create a volunteer account and begin this process. These items will need to be completed by volunteers each school year.
An email will be sent to the volunteer applicant communicating the status of their application and criminal history search within 3-5 business days of completing these steps. Volunteer approval status can also be viewed by the volunteer by logging into their account. Volunteers will need to complete the online orientation as well to be eligible to volunteer.
Once approved, they will be able to sign up for volunteer opportunities directly through the VOLY platform at plano.voly.org. Volunteers should be sure to select all of the schools they are interested in volunteering with when asked on their application in order to be eligible for volunteer opportunities at all of their schools of interest. These school selections can also be changed by the volunteer by logging into their account at any time.

How will I know when my application has been processed?
An email will be sent to the volunteer applicant within 3-5 business days of completing the volunteer approval steps communicating the status of their application and criminal history search. Volunteer approval status can also be viewed by the volunteer by logging into their account at plano.voly.org. If you have completed all of the volunteer approval steps, and have not received an email with your approval status within 3-5 business days, please contact shauna.koehne@pisd.edu for assistance.
A volunteer also knows they are ready to volunteer if their Voly account dashboard looks like this:
Volunteers will know they have successfully completed the background check form needed to run a criminal history check if they receive a confirmation email from forms@pisd.edu. This email can sometimes go to junk mail. If a volunteer does not receive this email and feels like they should have, they should contact vbcheck@pisd.edu to confirm that the safety and security department has received their background check form.

I'm a returning volunteer, but I forgot my password; what do I do?
Please visit plano.voly.org and select the purple log in button. Then click the forgot my password link. An email will then be sent to you with a temporary password. Once you log in with the temporary password, it can be changed from your account. To request assistance with this process, please visit: vol.cayzu.com.

I'm not a U.S. citizen; can I still volunteer?
Yes, you can volunteer! There is an extra step in the approval process for non-U.S. citizens who do not have a Social Security Number. Please complete the online application. You will need to complete an additional form, as well as bring in two forms of government-issued photo identification (passport, driver's license, consular cards, or other documentation) to the Safety & Security Services office located on the first floor of the PISD Administration Center at 2700 W. 15th Street.PLEASE NOTE: If you are a returning volunteer who is not a U.S. Citizen and you have already completed the above process, you only need to complete the online volunteer application.If you have any questions or concerns, please contact Safety & Security Services at vbcheck@pisd.edu. -
Do Plano ISD students need to complete the approval process to be eligible to volunteer?
Any student 13 years of age and older, who is not volunteering under the supervision of a club/program/organization sponsor, will need to complete the volunteer approval process.

What if a student does not have a state-issued ID?
Students without a driver's license or state-issued ID should complete the online application and orientation, and then come to the Plano ISD Safety & Security Department with their school ID to complete a supplemental form.

Do Plano ISD staff members need to complete the volunteer approval process to be eligible to volunteer?
Yes. All volunteers will need to complete all parts of the approval process.

How can a volunteer change their email address on their account?
Visit plano.voly.org to log in to the account using the volunteer email address and password and complete the following steps:
- On the purple dashboard, click on My Profile
- In the menu on the left, click Access & Notifications
- Near the top of the page is Privacy Settings, in bold type
- Click the Edit link that is beside Privacy Settings and change the email address
- The volunteer may be required to enter their password to validate the email address change
- Be sure to click the green Save Information button

How can a volunteer change their password in their volunteer account?
Visit plano.voly.org to log in to the account using the volunteer email address and password and complete the following steps:
- On the purple dashboard, click on My Profile
- In the menu on the left, click Access & Notifications
- Near the top of the page is Privacy Settings, in bold type
- Scroll down if necessary until a link called Change My Password is visible, located just below the volunteer email address
- Click this link and follow the prompts
- Click the green Save Information button

The campus I want to volunteer with says that I am not on their volunteer list. What do I do?
If you have created a Plano ISD Voly account, you will be in the volunteer system. However, a campus will not be able to see you if you have not selected them on your application as one of your campuses. However, you can add campuses to your list anytime! To add a campus as one of your schools, follow these steps:
1. Log into your Voly account.
2. Then click My Profile at the top of the page.
3. Then click My School located on the left side.
4. Select the Click Here link to add a school to your list.
5. Here you can search for the school you are looking for or scroll through the list.
6. Once you find the school you are looking for, click on the logo. This will take you to the school's page. To add them to your list, selct the Become a Fan button. Now the school will have been added to your list.

What is the check in and out process for volunteers on a campus?
Volunteers will check in with Raptor and VOLY using a two-step process. Raptor requires the use of a photo ID and VOLY requires the use of the volunteer’s email address or name. A volunteer will turn in their visitor’s badge to the front desk when their volunteer assignment is complete.
